Privacy Policy
What we collect, why, who it's shared with, and the choices you have. We wrote it to be read.
Effective date: October 12, 2026
- We collect only what we need: your email if you join the waitlist or contact us, and files you send to your calculator, which are deleted within 24 hours.
- We don't use cookies, analytics, advertising or tracking, and we don't sell or share your personal information.
- Questions you ask on a CE-AI calculator go straight from the calculator to Google, not to us.
- You can ask us to see, correct or delete your information at any time.
1. Who we are
This policy covers CalcWorks ("we", "us"). It applies to calcworks.tech, the file transfer service at calcworks.tech/transfer (the "Transfer service"), and the online features of CE-AI calculators. You can reach us through our contact form.
2. Information we collect
Information you give us
- Waitlist: your email address, an optional first name, and confirmation that you're 18 or older.
- Contact form: your name, email address, the topic and your message, plus anything else you choose to send when we reply by email.
- Orders (once sales start): your name, shipping and billing address, email, phone number if you give one, and what you ordered. Payment card details are handled by our payment processor; we don't see or store full card numbers.
The Transfer service
- Files you upload: the file's contents and name, its size and upload time. They're stored only so your calculator can download them.
- Your pairing code: the code links uploads to your calculator. It's sent in a request header (never in a web address) and is part of how each stored file is labeled. Your browser also keeps it on your device, in local storage, so you don't have to retype it. You can remove it by clearing this site's data in your browser.
Information collected automatically
Like any website, our hosting provider (Netlify) receives your IP address, browser type and the pages or API addresses you request. It keeps them in server and function logs that we use for security, troubleshooting and preventing abuse. We don't use cookies, analytics, advertising pixels, fingerprinting or any other tracking technology.
On a CE-AI calculator
- AI questions: when you send a message, the calculator sends it directly to Google's Gemini API, along with the last few exchanges of the conversation (so follow-ups make sense) and a standard instruction about formatting. These messages don't pass through CalcWorks and we don't store them. Google processes them under its own terms and privacy policy, and depending on the service tier used, Google may use them to improve its products, which can include review by people. Don't type personal or sensitive information. Your saved Inbox stays on your calculator.
- Stays on the device: your WiFi network names and passwords, your access code and your pairing code are stored on the calculator and its module. They're never sent to CalcWorks. The pairing code is only sent as the header described above.
- File checks: the calculator contacts calcworks.tech only while RECEIVE FILE is open, to check for and download your files.
3. How we use information
- To run the Transfer service and deliver files to your calculator.
- To email you once CE-AI is available, if you joined the waitlist.
- To answer messages and give support.
- To process, ship and support orders, including warranty service and returns.
- To keep our services secure, prevent abuse and fix problems.
- To comply with the law and enforce our terms.
We don't sell personal information, share it for cross-context behavioral advertising, use it for targeted ads, or make decisions about you by automated means that have legal or similarly significant effects.
4. How we share information
We share information only with:
- Service providers that work on our behalf under contract: Netlify, Inc. (website hosting, server functions, file storage and form submissions), and, once sales begin, our payment processor and shipping carriers.
- Google: CE-AI calculators send AI questions directly to Google, as described above. See Google's Privacy Policy.
- For legal reasons: when required by law, a valid legal process, or to protect the rights, property or safety of CalcWorks, our users or others.
- In a business transfer: if CalcWorks is involved in a merger, acquisition or sale of assets. We'll tell you if that changes how your information is handled.
5. How long we keep information
- Uploaded files: deleted when your calculator confirms it saved them, when you cancel them on the website, or 24 hours after upload, whichever comes first.
- Waitlist emails: until we've told you about availability, or until you ask us to remove you. After that we delete them.
- Contact form messages and our replies: as long as needed to help you and keep a reasonable record, generally no more than two years.
- Order records: as long as tax, accounting and warranty obligations require.
- Server logs: according to Netlify's retention periods.
6. Your choices and rights
Wherever you live, you can ask us to tell you what personal information we have about you, give you a copy, correct it, or delete it. You can also leave the waitlist at any time. Use our contact form with the topic "Privacy request". We may need to confirm it's really you before acting. We'll respond within 45 days, and we won't treat you differently for using these rights. You can also make a request through an authorized agent.
California residents
You have the rights above under California law, including the California Consumer Privacy Act where it applies. In the last 12 months we have collected the categories of information described in section 2 (identifiers such as name, email and IP address; the content of messages and files you send; and, for orders, commercial information), for the purposes in section 3, from you and your devices. We have not sold or shared personal information or used sensitive personal information for purposes that would allow you to limit its use. Under California's "Shine the Light" law, we don't disclose personal information to third parties for their own direct marketing.
Other US states
Residents of states with consumer privacy laws (including Virginia, Colorado, Connecticut, Utah, Texas, Oregon and others) have similar rights to access, correct, delete and get a copy of their information, and to opt out of sales, targeted advertising and profiling. We don't do any of those things. If we deny a request, you can appeal by replying to our decision, and if you're unhappy with the result you can contact your state attorney general.
Do Not Track and Global Privacy Control
We don't track you across websites, so there's nothing for a Do Not Track or Global Privacy Control signal to switch off. We'd honor them if that ever changed.
7. Children
Our website isn't directed to children under 13, and we don't knowingly collect personal information from them. The waitlist and CE-AI calculators are for adults 18 and older, because the AI assistant relies on a service that requires users to be 18 or older. If you believe a child has given us personal information, tell us through our contact form and we'll delete it.
8. Security
We use encrypted connections (HTTPS) everywhere. Each calculator has its own random 128-bit pairing code, and the service rejects codes shorter than 16 characters. Pairing codes are kept out of web addresses, and uploaded files expire automatically. No system is perfectly secure. Keep your pairing code private, and tell us right away if you think it's been exposed.
9. Where information is processed
CalcWorks is based in the United States, and our services are intended for people in the United States. Our service providers may process information in the United States and other countries.
10. Changes to this policy
If we change this policy, we'll update the effective date above. For significant changes that affect information we already have, we'll also tell you more directly, for example by email if you're on the waitlist.
11. Contact
CalcWorks. Reach us through our contact form, choosing the topic "Privacy request" for anything about your information.
